Maintenance - Dragon 15

Follow the maintenance instructions to ensure smooth operation of your voice recognition software.

  1. Right-click Dragon menu > Profile > Manage Dictation Sources.

  2. Click Add New Dictation Source.

  3. Choose an audio device.
  4. Click Next.

  5. Position your microphone as instructed.
  6. Click Next.

  7. Click Start.

  8. Read the text.
  9. Once "Complete" appears, click Next.

  10. Wait a moment.

  11. Click Finish.

Note:

It is possible to have multiple dictation sources in the event that you use different audio device in different locations (e.g. SpeechMike at one workstation, and headset at another workstation).

If you have more than one dictation source, Dragon will you prompt you to choose which one each time you log in.

  1. Right-click Dragon menu > Audio > Check microphone.

    2. The Check Microphone window opens.

  2. Position your audio device as directed.
  3. Click Next.

  4. Click Start.

  5. Read the text until recording stops.

    6. The Finish window opens.

  6. Click Finish.

As you make and train corrections; train new words; use commands; and perform additional training, Dragon stores the acoustic and language data in an archive and uses it to enhance recognition accuracy and ‘learn’ any changes you have made.

The Acoustic and Language Model Optimizer updates your user profile with accumulated acoustic data from your corrections and training, as well as adding commonly-used word sequences to the Language Model. Running the Acoustic and Language Model Optimization increases Dragon's overall accuracy.

Set the Roaming directory

  1. Open the Acoustic and Language Model Optimizer.
  2. Select File > Set User Directory.

  3. Select your user profile location.

    4. Once this location is set, you should see the users’ profiles populate the left side pane.

    This may take some time if there are a lot of profiles.

Run a test

  1. Click the icon at the far left, as shown below, or select File > New Task.
  2. Enter your Windows password

  3. Select a test profile.

    4. The Select Frequency window opens

  4. Select Perform Acoustic Optimization and Perform Language Model Optimization.
  5. Select One Time Only.
  6. Ensure Start Date = today.
  7. Ensure Start Time = 2-3 minutes from now.
  8. Click OK.

    9. If optimization is successful, you can now schedule it for all profiles.

Configure for all users

  1. Click the icon at the far left, as shown below, or select File > New Task.
  2. Enter your Windows password

  3. Click Multiple Users.
  4. Select the profiles you want to optimize. You can schedule optimisation in batches of 25 if you have a lot.

  5. Click OK.

    6. The Select Frequency window opens

  6. Select Perform Acoustic Optimization and Perform Language Model Optimization.
  7. Select Weekly.
  8. Select a Start Date.
  9. Select a Start Time.
  10. Click Apply.
  11. Click OK.

    12. The scheduled task will be displayed.

  12. Close the window.

    13. The Optimizer will start to run at the time specified in the Next Run Time column.

    Once optimisation has finished, the Last Run Time and Last Result columns will be populated.

Results

Success

The Acoustic and Language Model Optimizer has run successfully.

No New Data

There is not enough or no new data for the Acoustic and Language Model Optimizer to optimize.

May be caused by a configuration issue, as incorrect setup can stop the required files from being saved.

Failed

The Acoustic and Language Model Optimizer has not completed. The error should then be visible within the Dragon.log

Warning:

  • Running the Acoustic and Language Model Optimizer or Data Distribution Tool requires administration rights.

  • Failure to run the Acoustic and Language Model Optimizer will result in a degeneration of recognition, and the appearance that Dragon is not learning despite any training undertaken by the user.

  • The Roaming option must be disabled on the server / workstation on which you are running the Acoustic and Language Model Optimizer.

Note:

If there is a corrupt profile present on your network, the Acoustic and Language Model Optimizer will prevent you from scheduling a task for any user. We have a program which can be used to check for corrupt profiles.

Tip:

To find the Acoustic and Language Model Optimizer Scheduler, press the Start button / Windows key. Type "acoustic". Click Open.

Tip:

  • Schedule the Acoustic and Language Model Optimizer to run weekly to optimize recognition and performance. This will ensure that users always have access to the most up-to-date and streamlined profiles.

  • Schedule the Acoustic and Language Model Optimizer to run out-of-hours. User profiles must not be in use while the Optimizer is running.

  • Run the Acoustic and Language Model Optimizer from the server where the profiles are stored as this is the most time efficient in terms as it negates network speed issues, any loss of access to profiles and should also be subject to the standard system backup. The system administrators’ computer can also be used to run the Acoustic and Language Model Optimizer, but it will take longer if not in the same location as the profiles. It will need Dragon and access to the roaming location.

  • Once the profile is more than four weeks old the optimizer is no longer required, and its use can be discontinued. If degeneration of recognition is noticed after this, the acoustic optimizer task should be reinstated for the profile and run monthly.

Dragon 15 requires all Dragon User Speech Profiles to undergo license authentication, via the Nuance Management Center (NMC). This is a User License System Administrator tool that ensures all Reporting Clinicians have a Dragon User (Speech) License, and all System Administrators have an Administrator License.

The NMC allows licenses to be grouped by Department and User Type in order to view and manage licenses via a simple and intuitive cloud-based interface.

Note:

Dragon 15 Admin licenses are not chargeable, but Speech licenses are charged per user. This means a RIS / PACS System Administrator will need to have both types of licenses, but Speech licenses can be enabled and disabled as required allowing a System Admin Speech license to be shared by more than one RIS / PACS Manager.

Prior to installing and using Dragon 15, Magentus will create a Site for your Trust, and a System Administrator user account with the relevant permissions to create groups and users for your site.

The RIS / PACS System Administrator(s) responsible for managing all your licences will need to log in to the management console via https://nmc-uk.nuancehdp.com/

  1. Click Manage Organization and Sites.

    2. The Manage Organization tab opens.

  2. Click to select your organisation / trust.
  3. Click Add.

  4. Enter your site name and ID.
  5. Click Save.

    6. Your new site appears under your organisation / trust.

  6. Click Home to return to the home page.

  1. Click Add Group.

    2. The Add Group window opens.

  2. Select a role from the dropdown.
  3. Click OK.

    4. The Group Details tab opens.

  4. Click Save.

  5. Enter a name for your group.
  6. Select a role for members of this group.

    7. Your new group appears under your site / facility.

  7. Click Home to return to the home page.

Example:

You could add a group called Radiologists and assign them the role Speech recognition user.

  1. Click Add User.

    2. The User Account Details tab opens.

  2. Enter user details.
  3. Click the Speciality tab.

    4. The Speciality tab opens.

  4. Select Speciality and User Type.
  5. Click the Address tab.

    6. The Address tab opens.

  6. Enter address details.

  7. Click the Group Memberships tab.

    8. The Group Memberships tab opens.

  8. Click Home to return to the home page.
  9. Select this user's site from the dropdown.
  10. Select the group to which you want to add them.
  11. Click > to move your selection to the Selected Groups panel.
  12. Click the Messaging tab.

    13. The Messaging tab opens.

  13. Select messaging options as required.
  14. Click the User Profile tab.

    15. The User Profile tab opens.

  15. Click the User Profile tab.

    16. This is where you can reset this user profile.

  16. Click Save.
